Batch Correspondence

NOTE: This task may not apply to your jurisdiction.

The Batch Correspondence task is used to generate mass correspondence (i.e., hearing notice, final order of determination) for a group of cases based on specific criteria (i.e., a specified date range). In addition, this task can be used to update the case status of matching cases upon completion of the correspondence generation process; optionally generating an additional correspondence to a mass PDF file.

Steps

  1. On the Batch Correspondence screen, make a selection from the Select Process drop-down list. The drop-down list contains configured event types.

  2. Select the Report Options.

    • Use date for range – Select how to search for cases. Options include: Decision Date, Scheduled Date or Received Date.

    • From/To – Enter the date range for the selected date type.

    • Select case status to include – Select at least one case status; the application defaults to include all case statuses.

      NOTE: Security can be set for this drop-down list.

    • Create mass PDF file? – When selected, a mass PDF file is generated to the specified File Path, in addition to the individual correspondence which is created and attached to the case.

    • File Path – Enter the file path for the mass PDF file, if applicable.

  3. Select Update Status options.

  4. Select the Resulting case status on completion of the process. This field is not required; however, if a selection is made, all cases which are included in the correspondence generation process are updated with the selected status.
  5. NOTE: Security can be set for this drop-down list.

  6. Select Schedule Options.

    • Use the calendar picker to select a date and time to run the process; or

    • Leave this field blank to run the process immediately.

  7. Click Finish.

  8. Click Close to end the task.

Tips

When a case status is changed, a Status Maintained event is triggered, which captures caserecordid and status as artifacts for the event.
